How to Share a Portfolio with a Client in Navexa Pro

Learn how to share a portfolio with a client in Navexa Pro so they can access the right portfolio with the right permission level.

Use this guide to give an existing client access to a portfolio in Navexa Pro.

This article applies to Navexa Pro.

It is written for Pro account owners and Pro team members who manage clients, portfolios and access inside a Pro account.

Before You Start

In Navexa Pro, adding a client does not automatically give them access to a portfolio.

Creating a portfolio for a client or assigning an existing portfolio to a client also does not automatically share access to that portfolio.

Use this guide when:

  • the client already exists in your Clients list

  • the portfolio already appears on that client’s page

  • you now want to give that client access to the portfolio

If the client has not been added yet, add the client first.

If the portfolio is not yet linked to the client, create a new portfolio for them or assign an existing portfolio first.

Share A Portfolio With A Client

  1. Open Clients from the left-hand menu.

  2. Select the client you want to work with.

  3. In the client’s Portfolios section, find the portfolio you want to share.

  4. Click Share.

  5. Choose the permission level for that portfolio.

  6. Save or confirm the share.

The client will then have access to that portfolio based on the permission level you selected.

Choose The Right Permission

When you share a portfolio with a client, choose the permission level based on what they need to do.

Read

Use Read when the client only needs to view the portfolio.

This is usually the best option for clients, family members, or external accountants who should be able to see the portfolio without making changes.

Read & Write

Use Read & Write when the client needs to update or manage the portfolio.

Only use this when you want that client to be able to make changes.

Important To Know

Portfolio access is managed portfolio by portfolio.

That means:

  • one client can have access to multiple portfolios

  • one portfolio can be shared with multiple clients

  • each portfolio can have its own permission setting

If a client needs access to more than one portfolio, you need to share each relevant portfolio separately.

What To Do Next

After sharing the portfolio, you may want to:

  • share another portfolio with the same client

  • review whether the client should have Read or Read & Write access

  • check whether any other clients also need access to that portfolio

  • update or remove access later if the client’s needs change

Does Adding A Client Automatically Share A Portfolio?

No.

Adding a client creates the client record, but you still need to share the relevant portfolio with them.

Does Creating Or Assigning A Portfolio Automatically Give Access?

No.

Creating or assigning the portfolio links it to the client record, but you still need to click Share if the client needs access to it.

Can One Client Access Multiple Portfolios?

Yes.

One client can have access to multiple portfolios, but each portfolio needs to be shared separately.

Can Multiple Clients Access The Same Portfolio?

Yes.

You can share the same portfolio with more than one client and set the permission level for each person individually.

What If The Client Still Can’t See The Portfolio?

Check that:

  • the correct client record was used

  • the portfolio is linked to that client

  • Share was selected for that portfolio

  • the permission level was saved correctly

If the client can see one portfolio but not another, the missing portfolio usually has not been shared yet.
