Import Cash Transactions From a Spreadsheet

Import deposits, withdrawals, interest and fees from a CSV or Excel spreadsheet into a new or existing Navexa Cash Account.

Import historical cash transactions from a bank, broker cash account, savings account or other cash account into Navexa.

Before You Begin

You don’t need to create a Cash Account before starting. Navexa can create one for you during the import.

Prepare a CSV or Excel file containing transactions for one Cash Account and one currency.

Keep investment trades and cash transactions in separate files. Import buys and sells into your portfolio using the investment spreadsheet importer. Import deposits, withdrawals, interest and fees separately into a Cash Account.

If a file contains both investment trades and cash transactions, Navexa may process it as a trade import. This means the cash transactions may not be imported.

If you hold cash in multiple currencies, prepare a separate file and Cash Account for each currency. For example:

  • Import your AUD transactions into an AUD Cash Account.

  • Import your USD transactions separately into a USD Cash Account.

Navexa supports .csv, .xlsx and .xls files.

Start the Import

To upload a cash transaction spreadsheet:

  1. Open the portfolio where you want to track the cash account.

  2. Select Portfolio from the left-hand menu.

  3. Select + Add Holdings.

  4. Select Upload a spreadsheet.

  5. Drag your file into the upload box or select Browse Files.

  6. Select the file, then select Upload File.

  7. Wait while Navexa analyses the spreadsheet.

If you already have a Cash Account, you can also open it and select + Add Transaction followed by Import Transactions.

Choose the Cash Account

After analysing the file, Navexa will display the detected cash transactions and their destination Cash Account.

At the top of the review screen, check the account shown beside Import cash transactions to.

  • To use an existing Cash Account, select the account and choose the correct destination.

  • If you don’t have a suitable account, select Create new cash account.

  • Check that the account currency matches the transactions in your spreadsheet.

If Navexa displays New beside the account, it will create that Cash Account when you complete the import.

A Cash Account can only contain one currency. Use separate imports for transactions in different currencies.

Review the Transactions

Review every detected transaction before completing the import.

Navexa will attempt to identify each transaction’s:

  • Date

  • Description

  • Amount

  • Transaction type

Select an editable field to correct it. For example, if Navexa identifies an interest payment as a deposit, change its type to Interest Payment.

Transactions containing errors will be highlighted on the review screen. Resolve the highlighted fields before continuing.

If the source is shown as Unknown broker, the import has not necessarily failed. Navexa may still have extracted the cash transactions correctly from a generic spreadsheet.

Supported Transaction Types

The Cash Account spreadsheet importer supports:

  • Deposit: Money added to the Cash Account.

  • Withdrawal: Money removed from the Cash Account.

  • Interest Payment: Interest received.

  • Interest Charged: Interest paid or charged to the account.

  • Fee: A non-interest account or transaction fee.

Choose the type that best represents each cash movement. Transaction types can affect how amounts appear in your portfolio reporting.

Complete the Import

Once you’ve reviewed the transactions:

  1. Resolve any remaining errors.

  2. Confirm the destination Cash Account and currency.

  3. Complete the import.

  4. Open the Cash Account and review the imported transactions.

  5. Check that the resulting cash balance is correct.

If Navexa created a new Cash Account during the import, it will now appear in your portfolio.

Avoid Duplicate Transactions

Navexa can automatically create Cash Account transactions from eligible investment trades and income.

Before importing, check whether any transactions from your spreadsheet are already recorded in the Cash Account. Importing them again may create duplicates and affect your cash balance and portfolio performance.


Common Issues

Why didn’t my cash import?

Check whether your spreadsheet also contains investment buys or sells. Separate the cash transactions into their own file and import it again.

Why is the currency wrong?

Each Cash Account has one currency. Separate transactions by currency, then import each file into the matching Cash Account.

Why are transactions showing errors?

Select each highlighted field and check its date, amount and transaction type. Remove rows that aren’t supported cash transaction types.

Why is my balance incorrect?

Check for missing transactions, incorrect amounts, duplicates, an incorrect opening balance or transactions assigned to the wrong type.
