You can set up Outlook to automatically forward broker trade confirmation emails to your portfolio’s Navexa Link email.
This helps new trades import into Navexa without manually forwarding each contract note.
Before You Start
Before creating the Outlook rule, make sure you have:
Your portfolio’s Navexa Link email address
Access to your Outlook email account
A recent broker trade confirmation email
The sender email address your broker uses for contract notes
Each portfolio has its own unique Navexa Link email address, so make sure you copy the address from the correct portfolio.

Use A Rule, Not General Forwarding
In Outlook, the general forwarding setting can forward all incoming emails to another address.
For Navexa, you should use a mail rule instead. This lets you forward only broker trade confirmation emails, rather than your whole inbox.
Only forward executed trade confirmation emails or contract notes. Do not forward order placed emails, market notifications, statements, newsletters, or general broker emails.
Create The Outlook Rule
To create a forwarding rule in Outlook:
Open Outlook in your browser.
Select Settings (gear icon top right).
Go to Mail.
Select Rules.
Select + Add Rule.
Give the rule a clear name, such as
Forward CommSec Notes To Navexa.Under Add A Condition, choose From.
Enter your broker’s contract note sender email address (don't enter your Navexa or personal email here).
Under Add An Action, choose Forward To.
Enter your portfolio’s Navexa Link email address.
Select Save.
This rule should now forward matching broker trade confirmation emails to Navexa automatically.
Common broker sender examples
Use the exact sender address from your broker’s contract note email where possible.
Common examples include:

If your broker is not listed here, open a recent contract note email and copy the sender address from that email into the rule.
Test The Setup
After saving the rule:
Wait for your next broker trade confirmation email to arrive.
Check that Outlook forwards the email to your Navexa Link email.
Check Navexa a few minutes later to confirm the trade has imported.
This setup is best for new trade confirmations going forward.
If you need to import older trades, use a CSV import or broker-specific import option where available.
Common Issues
Why Did All My Emails Forward To Navexa?
This usually means you used Outlook’s general Forwarding setting instead of a mail rule.
Turn off general forwarding, then create a rule that only forwards emails from your broker’s contract note sender address.
Why Hasn’t The Trade Imported?
If the trade has not imported, check that:
The email was an executed trade confirmation or contract note.
The contract note PDF was attached.
The rule uses the broker’s sender email address, not your own email address.
The Navexa Link email belongs to the correct portfolio.
Your Outlook account allows external forwarding.
Some organisation-managed Microsoft accounts may restrict automatic external forwarding. If your Outlook account is managed by your workplace or organisation, you may need to check your mail settings or contact your email administrator.
Why Did The Trade Go To The Wrong Portfolio?
Each portfolio has its own Navexa Link email address.
If the trade appears in the wrong portfolio, the Outlook rule is likely forwarding to another portfolio’s Navexa Link email. Copy the correct portfolio’s Navexa Link email and update the rule.
