How to Change a Client’s Access to a Portfolio in Navexa Pro

Use this guide to update or remove a client’s access to a portfolio in Navexa Pro.

This article applies to Navexa Pro.

It is written for Pro account owners and Pro team members who manage clients, portfolios and access inside a Pro account.

Before You Start

In Navexa Pro, client access is managed portfolio by portfolio.

That means if a client has access to multiple portfolios, you need to review each portfolio separately.

It is also important to know that you cannot directly switch a portfolio from Read to Read & Write, or from Read & Write to Read, in one step.

To change the permission level, you need to:

  • Unshare the portfolio

  • then Share it again

  • choose the new permission level

Remove Access From A Portfolio

If you want to remove a client’s access to a portfolio:

  1. Open Clients from the left-hand menu.

  2. Select the client you want to work with.

  3. In the client’s Portfolios section, find the portfolio you want to update.

  4. Click Unshare.

The client will no longer have access to that portfolio.

Change A Client’s Permission Level

If you want to change a client’s permission from Read to Read & Write, or from Read & Write to Read, you need to remove the existing access first.

Step 1: Unshare The Portfolio

  1. Open Clients from the left-hand menu.

  2. Select the client you want to work with.

  3. In the client’s Portfolios section, find the portfolio you want to update.

  4. Click Unshare.

Step 2: Share The Portfolio Again

After unsharing the portfolio:

  1. Find the same portfolio in the client’s Portfolios section.

  2. Click Share.

  3. Choose the new permission level.

  4. Save or confirm the share.

The client will then have access again with the new permission.

What Happens When You Unshare

Unsharing a portfolio removes that client’s access to that portfolio.

It does not:

  • delete the client

  • delete the portfolio

  • remove the client’s access to other portfolios

This is because access is managed separately for each portfolio.

When To Change Access

You may want to change a client’s access when:

  • they only need to view the portfolio and should have Read access

  • they now need to make changes and should have Read & Write access

  • they no longer need access to that portfolio at all

  • they should keep access to one portfolio but not another

Best Practice

Use these rules when changing client access in Navexa Pro:

  • check access portfolio by portfolio

  • use Read access when someone only needs visibility

  • use Read & Write access only when someone should be able to make changes

  • unshare first if you need to change the permission level

  • review the client’s other portfolios as well if they have access to more than one

Can I Change Read To Read & Write Without Unsharing?

No.

In Navexa Pro, you need to unshare the portfolio first, then share it again and choose the new permission level.

Does Unsharing Delete The Portfolio?

No.

Unsharing only removes that client’s access to the portfolio. It does not delete the portfolio itself.

Does Unsharing Delete The Client?

No.

Unsharing removes access to that specific portfolio only. The client record will still remain in your Clients list.

Will Unsharing One Portfolio Remove Access To All Portfolios?

No.

Access is managed portfolio by portfolio, so unsharing one portfolio only removes access to that one portfolio.

What Should I Do If The Client Still Needs Access, But With Different Permissions?

Unshare the portfolio first, then share it again and choose the new permission level.
