iCloud Mail: Automatically Forward Your Notes

Set up iCloud Mail to automatically forward broker contract notes to your portfolio’s Navexa Link email so new trades import into Navexa without manual forwarding.

This setup sends new broker contract notes to Navexa automatically so your new trades can be imported without forwarding each email manually.

Before you start

Use Mail on iCloud.com for this setup.

That is the best option for Navexa because iCloud Mail rules run at the iCloud level.

Apple also notes that new or changed rules can take up to 15 minutes to apply. If you use the Mail app on your Mac instead, automatic forwarding only works while the app is open. (Apple Support)

Before you create the rule, make sure you have:

  • Your portfolio’s Navexa Link email address

  • Access to your iCloud Mail account

  • A recent broker contract note email so you can copy the correct sender address

Each portfolio has its own unique Navexa Link email address, so make sure you copy the address from the correct portfolio. (See Finding Your Portfolio’s Unique Email Address).

You must use a rule. If you choose the fowarding option ALL emails are forwarded to Navexa.

Create a rule so only broker emails are forwarded

  1. Open icloud.com/mail and sign in.

  2. Click Settings in the Mail sidebar.

  3. Click Rules then Add Rule.

  4. Give the rule a clear name, less than 30 characters, such as Fwd nabtrade trades to Navexa.

  5. Under Message, choose the condition that matches your broker email.

  6. In most cases, use is from and enter the broker’s sender email address.

  7. Under Message, choose the condition that matches your broker email.

  9. Under Action, choose Forward to.

  10. Select your portfolio’s Navexa Link email address.

  11. Click Add to save the rule.

Apple supports forwarding only certain emails using rules in iCloud Mail, and each forwarding rule can use one forwarding address. If you want to forward emails for multiple brokers or to different portfolios, create separate rules. (Apple Support)

Common broker sender examples

Use the exact sender address from your broker’s contract note email where possible.

Common examples include:

If your broker is not listed here, open a recent contract note email and copy the sender address from that email into the rule.

Step 3: Test the setup

  1. Wait up to 15 minutes for the new rule to start applying.

  2. Let the next broker contract note arrive in your iCloud inbox.

  3. Confirm that the email is automatically forwarded to your Navexa Link address.

  4. Check Navexa a few minutes later to confirm the trade has been imported.

For traditional brokers, Navexa’s automated importing flow is based on forwarding broker trade confirmations to your portfolio’s unique email address, and trades are typically processed within around 5 minutes after receipt.

If it is not working

Check the sender address

Make sure your rule uses the broker’s sender email address, not your own email address.

For example, a nabtrade rule should use [email protected].

Check you used the right Navexa Link email

Each portfolio has its own Navexa Link email.

If the trades are going into the wrong portfolio, you likely used the wrong forwarding address.

Check your rule order

If you have multiple iCloud Mail rules, Apple applies them in the order shown in your rules list.

Move the broker forwarding rule higher if another rule is affecting those emails first. (Apple Support)

Check whether your broker can send to a second email directly

Some brokers let you add an additional email address for trade confirmations inside the broker platform.

If your broker offers that option, adding your Navexa Link email there can be simpler than creating an email rule.

Import older trades another way

This setup is best for new contract notes going forward.

If you need to bring in older trades, use a CSV import or broker-specific import flow where available.
