Use this guide to assign a portfolio that already exists in your Navexa Pro account to an existing client.
This article applies to Navexa Pro.
It is written for Pro account owners and Pro team members who manage clients, portfolios and access inside a Pro account.
Before You Start
In Navexa Pro, a client and a portfolio are not the same thing.
A client is the person record. A portfolio is the entity or account being tracked.
Assign an existing portfolio to a client when:
the client already exists in your Clients list
the portfolio already exists in your Pro account
you want to link that existing portfolio to the client
If the portfolio does not exist yet, create a new portfolio instead.
Assign An Existing Portfolio To A Client
Open Clients from the left-hand menu.
Select the client you want to work with.
On the client detail page, click Add Portfolio.
From the dropdown, select Assign Existing Portfolio.
Select the portfolio you want to assign.
Click Assign Portfolio.
The portfolio will then appear in the client’s Portfolios section.
What This Option Does
Choosing Assign Existing Portfolio links a client to a portfolio that already exists in your Pro account.
This is the right option when you do not want to create a new portfolio and only need to connect an existing one to that client.
Important To Know
Assigning a portfolio to a client does not automatically share access to that portfolio.
You will still need to select Share if the client needs login access to it.
This is especially important when a client has multiple portfolios, because access is managed portfolio by portfolio.
What To Do Next
After assigning the portfolio, you can continue with the next setup steps for that client.
For example, you may want to:
select Share to give the client access to the portfolio
assign another existing portfolio to the same client
create a new portfolio for a different entity
review the client’s permissions across their portfolios

Should I Assign An Existing Portfolio Or Create A New One?
Assign an existing portfolio when the portfolio is already in your Pro account.
If the portfolio does not already exist, create a new portfolio instead of assigning one.
Can One Client Have More Than One Portfolio?
Yes.
One client can have multiple portfolios if that person needs access to more than one entity or account.
Does Assigning A Portfolio Automatically Give The Client Access?
No.
Assigning the portfolio links it to the client record, but you will still need to select Share if the client needs access.
Can I Assign The Same Portfolio To More Than One Client?
Yes.
If more than one person needs access to the same portfolio, you can assign that portfolio to multiple clients and then choose the right permission level for each one.
