For Accountants: Work With Report Exports and Supporting Records

Review supplied PDF and Excel reports, download fresh copies, and use valuations, historical costs and transaction records to support your work.

You can review your client’s Navexa reports without a login, or download available reports from their shared portfolio. Treat each file as a snapshot of the records and settings when it was generated.

Start With the Supplied Files

Check the report, filename and client’s accompanying message first. Clarify only missing or unclear details:

  • The client, legal owner or entity, ownership share and portfolio covered.

  • The financial year or valuation date, reporting currency and included accounts.

  • Relevant CGT settings and whether the files reflect the latest corrections and annual fund statements.

Report metadata varies. A file may omit the portfolio name, reporting period, settings or currency code. Do not infer the currency from a dollar sign alone.

Where available, start with ATO MyTax, followed by Taxable Income and Capital Gains Tax for detail. Use the relevant broker, registry, annual fund and other source statements, plus prior-year loss working papers. Request only what your review still needs.

Australian tax reports require an AUD-billed subscription and an AUD-base-currency portfolio, with availability depending on the plan. For client export and sharing instructions, see Share Australian Tax Reports With Your Accountant.

Download From a Shared Portfolio

  1. Open the required report in the client’s portfolio.

  2. Select the period or valuation date.

  3. Open Export and choose an available format.

  4. Check the downloaded file’s period, sections and holdings. Do not assume a screen filter has limited the export.

Read only access allows available reports to be downloaded. Formats vary by report.

Read PDF and Excel Files

PDFs provide a formatted report, while Excel files let you work with the exported detail.

PDF Reports

Use the visible report heading and content to identify the PDF. Its document title may differ. The Taxable Income PDF contains the tax summary and supporting detail, although sections without income may be absent.

Demo Taxable Income PDF headed Income Tax Return 25/26, showing individual-return tax-label categories.

This page identifies the year but not the portfolio or currency. Check the filename and client’s message before asking for those details.

Excel Reports

The Taxable Income workbook has five detail sheets: Non Trust Income, Trust Income, Foreign Income, Cash Interest and Crypto Income. It has static values and no ATO tax-label summary. The CGT workbook includes a summary and relevant disposal sections.

Keep the original and use a working copy for analysis. Editing Excel does not update Navexa, and changing a detail value does not automatically recalculate exported totals.

Avoid Counting Totals Twice

Income PDFs and spreadsheets can contain individual entries, holding subtotals and section totals. Use the relevant detail rows or subtotal once; adding every row can double-count income.

CGT exports can show several purchase-lot rows for one disposal. Reconcile those rows together using For Accountants: Understand the Capital Gains Tax Report. For tax labels, gross and net income, see For Accountants: Understand the ATO myTax and Income Reports.

Use Other Reports When Needed

Use these reports and transaction records to investigate a figure or support a specific reconciliation.

Portfolio Valuation

Open Tax Reporting → Portfolio Valuation and select the date. Review recorded units, cost and market value against the supporting records.

Demo Portfolio Valuation at 30 June 2026 showing units, cost, price, value and profit or loss.

Check the selected date and the quantities, prices and costs relevant to your review.

Profit/Loss compares cost and value; it is not realised taxable CGT. Check exchange rates and custom-asset prices where relevant. PDF and Excel exports depend on report availability and plan. See Portfolio Valuation Report.

Historical Cost

Open Tax Reporting → Historical Cost. Select the period and check Include Brokerage or Exclude Brokerage, together with the displayed Allocation Method.

Demo Historical Cost report showing allocation method, opening cost, purchases, cost of sales, closing cost, market value and quantity.

Use the period, brokerage setting and allocation method when reconciling cost movements.

Cost of Sales is the acquisition cost allocated to disposals, not sale proceeds. Reconcile opening cost, purchases, disposals and recorded adjustments to closing cost. Closing Market Value is a separate figure. This report exports to Excel only: Create a Historical Cost Report.

Underlying Transactions

Open Transactions, find the relevant record and inspect its details and History. The CSV export follows the current date range and filters. See How to Use the Transactions Page in Navexa.

An investment transaction and its cash movement can appear separately. Avoid counting both as separate economic events: Why Do I See Two Similar Transactions on the Transactions Page in Navexa?.

Separate Planning From Actual Results

Unrealized Gains models a hypothetical disposal of open holdings. On eligible plans, Scenarios models hypothetical tax, cash and portfolio effects; it does not place orders or record trades. See Calculating Unrealised Capital Gains and What Are Scenarios in Navexa?.

Keep these results, portfolio valuations and performance gains separate from realised taxable CGT.

Resolve Differences and Keep Final Copies

  1. Identify the affected record or setting and the supporting evidence.

  2. With files only or Read only, ask the client to make required corrections. With Read & Write, make the agreed changes in Navexa.

  3. Obtain fresh reports and retain the reviewed set with source records and any separate return adjustments.

If you received both files and access, use the live records to investigate differences. Existing PDFs and spreadsheets will not refresh after changes.

For a platform error, contact in-app support with the report, period, relevant record and a screenshot. For maintaining records after lodgment, see Do I Need To Update Navexa After Lodging My Tax Return?.
